Return Policy Overview
At Optima Cycles, we stand behind the quality of our products and want you to be completely satisfied with your purchase. This Return Policy sets forth the terms and conditions under which you may return products purchased from Optima Cycles (hereinafter referred to as "Company," "we," "us," or "our") for a refund, exchange, or credit, subject to the limitations, conditions, and exclusions described herein.
By making a purchase from Optima Cycles, you acknowledge that you have read, understood, and agree to be bound by this Return Policy. This policy applies to all products purchased directly from Optima Cycles or through authorized dealers and distributors, unless otherwise specified in writing at the time of purchase.
Section 1: Return Eligibility Requirements
To be eligible for a return, refund, exchange, or credit, the following conditions must be satisfied:
- Time Limitation: The product must be returned within thirty (30) calendar days from the date of original purchase, as evidenced by the original sales receipt, invoice, or order confirmation. The return period commences on the date of delivery to the original shipping address, or in the case of in-store purchases, on the date of purchase.
- Original Condition: The product must be in its original, unused, unassembled condition (if applicable), with all original tags, labels, stickers, and protective coverings intact and affixed to the product. The product must not exhibit any signs of wear, damage, modification, alteration, or use beyond reasonable inspection that would be expected in a retail environment.
- Original Packaging: The product must be returned in its original packaging, including but not limited to boxes, bags, protective materials, and any outer shipping containers, to the extent such packaging is available and in substantially the same condition as received.
- Complete Product: All components, parts, accessories, documentation, manuals, warranty cards, and any other items that were included with the original purchase must be returned with the product. Missing items may result in a reduction in the refund amount or refusal of the return.
- Proof of Purchase: You must provide valid proof of purchase, including but not limited to the original sales receipt, invoice, order confirmation email, or other documentation that establishes the date of purchase, purchase price, and the identity of the purchaser.
- Return Authorization: You must obtain a Return Merchandise Authorization (RMA) number from our customer service department prior to shipping the product. Returns received without a valid RMA number may be refused or delayed in processing.
Section 2: Return Process and Procedures
To initiate a return, you must follow the procedures set forth below:
- Contact Customer Service: Within the 30-day return window, contact our customer service department by email at optima@thesweetspot.com or by telephone at +1 (719) 266-2837 during our regular business hours (Monday through Friday, 9:00 AM to 6:00 PM Pacific Standard Time, excluding holidays). Provide your order number, product description, reason for return, and any other information requested by our customer service representative.
- Obtain RMA Number: Upon review of your return request, our customer service team will issue a Return Merchandise Authorization (RMA) number if your return is eligible under this policy. The RMA number must be clearly displayed on the outside of the shipping package containing the returned product. Returns shipped without a valid RMA number may be refused or returned to the sender at the sender's expense.
- Package the Product: Package the product securely in its original packaging, ensuring that all components, accessories, documentation, and other items are included. Use appropriate protective materials to prevent damage during transit. We recommend using the original shipping materials if available.
- Ship the Product: Ship the product to the return address provided by our customer service team, using a trackable shipping method. We strongly recommend purchasing shipping insurance for the full value of the product, as we are not responsible for products lost or damaged during return shipping. Return shipping costs are the responsibility of the customer, except as otherwise provided in Section 4 (Damaged or Defective Products) or Section 5 (Company Errors).
- Include Documentation: Include a copy of the original sales receipt or invoice, the RMA number, and any other documentation requested by our customer service team inside the shipping package.
- Retain Tracking Information: Retain the shipping tracking number and receipt until you receive confirmation that we have received and processed your return.
Section 3: Refund Processing and Timeline
Upon receipt of the returned product, we will inspect the product to verify that it meets the eligibility requirements set forth in Section 1. Refund processing is subject to the following terms:
- Inspection Period: We will inspect the returned product within five (5) to ten (10) business daysafter receipt. Business days exclude weekends and holidays observed by Optima Cycles.
- Refund Method: If the return is approved, refunds will be issued to the original payment method used for the purchase. If the original payment method is no longer available (e.g., credit card has expired or been closed), we will issue the refund via an alternative method at our discretion, which may include a check or store credit.
- Refund Amount: The refund amount will equal the purchase price paid for the product, less any applicable deductions as set forth in this policy, including but not limited to original shipping charges (unless the return is due to a defect or error on our part), restocking fees, or deductions for missing items or damage.
- Processing Time: After approval, refunds will be processed within five (5) to ten (10) business days. The time it takes for the refund to appear in your account depends on your financial institution and payment method. Credit card refunds typically appear within 5-10 business days, while other payment methods may take longer.
- Original Shipping Charges: Original shipping charges paid at the time of purchase are non-refundable, except in cases where the return is due to a manufacturing defect, damage during shipping, or an error on our part (e.g., wrong product shipped, defective product).
- Return Shipping Costs: Return shipping costs are the responsibility of the customer, unless the return is due to a manufacturing defect, damage during shipping, or an error on our part. In such cases, we will provide a prepaid return shipping label or reimburse reasonable return shipping costs upon receipt of the returned product.
Section 4: Exclusions and Non-Returnable Items
The following items and circumstances are not eligible for return, except as required by applicable law or as otherwise provided in Section 5 (Damaged or Defective Products):
- Custom or Personalized Products: Products that have been customized, personalized, or modified according to customer specifications, including but not limited to custom frame sizes, special color combinations, engraved components, or products manufactured to order, are not eligible for return unless defective.
- Assembled or Used Products: Products that have been assembled, partially assembled, ridden, tested, or used in any manner are not eligible for return, except as may be necessary to reveal a manufacturing defect covered under warranty. This includes products that have been removed from their original packaging and cannot be restored to their original condition.
- Incomplete Products: Products missing original packaging, tags, labels, accessories, components, documentation, or any other items that were included with the original purchase are not eligible for return, or may be subject to deductions from the refund amount to cover the cost of missing items.
- Damaged or Modified Products: Products showing signs of wear, damage, modification, alteration, or abuse are not eligible for return, except as provided in Section 5 (Damaged or Defective Products). This includes products that have been damaged due to misuse, improper assembly, or failure to follow manufacturer instructions.
- Final Sale Items: Products marked as "final sale," "clearance," "as-is," or sold during special promotions or events where returns are explicitly excluded are not eligible for return unless defective.
- Gift Cards and Store Credit: Gift cards, store credit, and similar items are not eligible for return or refund, except as required by applicable law.
- Unauthorized Purchases: Products purchased from unauthorized dealers, third-party sellers, or through channels not authorized by Optima Cycles are not eligible for return through this policy.
- Late Returns: Products returned after the 30-day return window are not eligible for return, except as may be required by applicable law or as otherwise agreed in writing by Optima Cycles.
Section 5: Damaged or Defective Products
If you receive a product that is damaged, defective, or not as described, please contact us immediately (within 48 hours of delivery) at optima@thesweetspot.com or +1 (719) 266-2837. We will arrange for a replacement, repair, or full refund, including all shipping costs, at no charge to you.
For damaged or defective products, we may request photographs or other evidence of the damage or defect. We reserve the right to inspect the product before authorizing a return or issuing a refund. In cases where the product is defective, we will provide a prepaid return shipping label or arrange for pickup of the product.
Section 6: Restocking Fees and Deductions
In certain circumstances, we may assess restocking fees or make deductions from refund amounts:
- Restocking Fee: If a returned product does not meet the eligibility requirements set forth in Section 1, we reserve the right to refuse the return or charge a restocking fee of up to twenty percent (20%) of the product purchase price. Restocking fees may be applied to products that have been used, damaged, modified, or are missing components or packaging.
- Missing Items: If the returned product is missing components, accessories, documentation, or other items that were included with the original purchase, we may deduct the cost of such items from the refund amount, or refuse the return if the missing items are essential to the product's functionality or value.
- Damage Assessment: If the returned product shows signs of damage that was not present at the time of original shipment, we may deduct the cost of repair or the diminished value of the product from the refund amount.
Section 7: Exchanges
Exchanges are subject to the same terms and conditions as returns, as set forth in this policy. To request an exchange:
- Follow the return process described in Section 2 to return the original product.
- Specify the product, size, color, or configuration you wish to receive in exchange.
- If the exchange product is of higher value, you will be charged the difference. If the exchange product is of lower value, you will receive a refund for the difference.
- Exchanges are subject to product availability. If the requested exchange product is not available, we will issue a refund for the returned product.

BY MAKING A PURCHASE FROM OPTIMA CYCLES, YOU ACKNOWLEDGE THAT YOU HAVE READ, UNDERSTOOD, AND AGREE TO BE BOUND BY THIS RETURN POLICY. THIS POLICY CONSTITUTES A LEGALLY BINDING AGREEMENT BETWEEN YOU AND OPTIMA CYCLES. WE RESERVE THE RIGHT TO MODIFY THIS POLICY AT ANY TIME, AND SUCH MODIFICATIONS SHALL BE EFFECTIVE IMMEDIATELY UPON POSTING ON OUR WEBSITE. YOUR CONTINUED USE OF OUR WEBSITE OR PURCHASE OF PRODUCTS AFTER SUCH MODIFICATIONS CONSTITUTES YOUR ACCEPTANCE OF THE MODIFIED POLICY.
